Overview

The Human Resources Administrator for the Chief Human Resources & Inclusion Officer (CHRIO) and Talent Acquisition department is responsible for providing advanced and confidential operational support to the CHRIO and the Talent Acquisition Department.

The incumbent must be able to work independently, handle assignments with discretion and diplomacy, maintain a high degree of confidentiality at all times, and use sound judgment while operating in a fast-paced, high-volume environment. They will interact with a diverse group of people at all levels of the organization and the general public. The position requires a passion for creating positive working relationships with both internal and external customers



Responsibilities

General:

  • Organize meetings, prepare meeting materials and agendas, reserve conference rooms and coordinate the use of audio/visual equipment, catering and room set-up, as needed
  • May organize the logistics of enterprise-wide programs for staff and external guest presenter
  • Order resources and supplies as needed
  • Provide assistance with project management, as needed
  • Assist with the production of reports using a variety of presentation formats
  • Assist with generating, downloading and updating various reports and databases
  • Process financial invoices and expenses
  • Collaborate with and support other members of the administrative team, as needed
  • Other duties as assigned

Office of the CHRIO:

  • Manages active calendar of appointments, meetings and travel.
  • Arranges complex and detailed travel plans, itineraries, and agendas; to include compiling documents for travel-related meetings
  • Provides a bridge for smooth communication between the supported teams and internal departments; demonstrating leadership to maintain credibility, trust and support with Senior Leadership and associates.

Talent Acquisition Department:

  • Assist with maintaining departmental document management and filing systems
  • Updating job postings, candidate records and supporting distribution of resumes within ATS system
  • Assist with the organization and execution of large scale on-site and virtual recruiting events.
  • Compose and/or prepare correspondence, quarterly and other reports, agreements, presentations, and other confidential documents.


Qualifications

Education and Experience Requirements:

  • Minimum 2-5 years’ combined experience in administrative support and Talent Acquisition or Human Resources preferred.
  • Experience working within, and/or closely collaborating with, Human Resources Department and related function
  • Bachelor’s degree in Human Resources or related field required
  • Advance proficiency in MS Office (Word, Excel, Visio, PowerPoint, Teams and MS-Project)
  • Experience with Applicant Tracking Systems required; iCims Preferred
  • Experience working with highly confidential information and materials
  • Proven track record in exercising critical thinking skills and sound judgement, particularly in sensitive situations
