Job Description


Provide administrative support to the operations department and field associates. 


  • Support manager and department with administrative duties.
  • Responsible for permit application creation and submittal to all municipalities, follow-up, download/pick-up, and dissemination to the field.
  • Coordinate fees processing with the Plans Manager and maintain all accounting documentation.
  • Maintain construction tracking spreadsheets and collect/disseminate to the field personnel.
  • Collect Notice of Completion forms as production phases are completed and give to escrow for recording.
  • Update and distribute Production and Quality Control reports according to department schedule.
  • Maintain homesite records for closed homes and collect documentation from field personnel.
  • Maintain and update Construction Manual. Produce finished manuals as needed for new hires.
  • Assist with generation and submittal of Model Home materials at the start of each community.
  • Liaison to Construction Managers. Responsible for procuring and distributing supplies and equipment for field offices.
  • Prepare and distribute field start package for each new homesite start.
  • Copy soils and concrete testing reports and distribute to field as needed.
  • Occasionally attend first-build, field frame walks with management team to notate required plan redlines.
  • Assist with SWPPP documentation and attend Safety Meetings as required.
  • Coordinate Construction Department meetings when requested.
  • Perform all other duties as assigned.


  • One (1) - two (2) years’ experience in construction industry preferred
  • High school diploma or GED required
  • Intermediate skills in Microsoft Word and Excel
  • Strong communication skills, written and verbal
  • Works well under pressure
  • Capable of handling multiple tasks with simultaneous deadlines
  • Maintain regular attendance and punctuality relative to daily work schedule is required
  • Follow directions from a supervisor

This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office materials, equipment and supplies weighing 25 pounds or less.  Finger dexterity is required to operate a computer keyboard and calculator.
