Overview

Gather, supervise, organize, coordinate and manage all permit/plan activity in the division.  Duties include applying for permits with the respective municipalities, compiling supporting documents, updating and maintaining reports, preserving files, communicating with county associates, officials/municipalities, construction department, etc.

Responsibilities

Primary Duties and Responsibilities

  • Track all documents associated with the permit process from initial review through final permit approval to ensure timelines/schedules are met and to provide timely follow-up as required
  • Ability to read and interpret construction drawings, specs and related documents
  • Working knowledge of engineering practices, designs, and standards pertaining to new construction projects and renovations
  • Working knowledge of permit approving agencies policies and procedures for the permit approval process for new construction and renovation projects
  • Ability to utilize external database systems to research and obtain required permit data and submit permit applications to approving agencies
  • Experience using software applications such as Word, Excel, Adobe and Microsoft Outlook.
  • Ability to deal tactfully and communicate effectively with project managers, engineers, sub-contractors, vendors, design consultants and permit approving agency officials to discuss or resolve permit related problems
  • Ability to communicate effectively, verbally and in writing
  • Experience working within a project team and collaborating with project team members.
  • Obtain documents from Engineers, Architects and various Vendors to facilitate the permit application process 
  • Obtain all required approvals for permits and act as liaison between the company and each municipality throughout the entire permitting process
  • Prepare and submit applications to various agencies/ boards having jurisdiction over required permits and/or approvals
  • Review plans issued out of the division along with all supporting documents for accuracy and confirm that all start packages are complete
  • Prepare NOC's (Notice of Commencements) as required by law for issued permits 
  • Prepare check requests, code invoices, process invoice payment documentation in coordination with the accounting department.
  • Assist the Construction Team in obtaining utilities (Power, Data, Phone, Gas, etc...) sign off and recording easements as necessary.Pay fees associated with permits and inspections, code accordingly and provide sign off authorization for Purchase Card transactions with the Company’s banking agency
  • Coordinate paperwork and applications with outside consultants as necessary
  • Submit distribute and file paperwork enter data for various permits such as building, design review, standard plan, plan changes, and amendment permits
  • Work closely with the municipalities on the status of permits and ensure they are processed in a timely manner
  • Produce and maintain schedules for all communities and coordinate with municipalities from permit approval to final stages (CO) of permitting process
  • Enter, maintain and update permitting data daily on excel spreadsheet
  • Print and Prepare start packages to include plans, specifications and supporting documentation for Construction Managers off site
  • Monitor and create reports, correspondence and narratives utilizing spreadsheets and word documents
  • Verify inspections are completed and conditions resolved to obtain Certificate of Occupancies for closing
  • Maintain all company files relating to site plan applications, product approvals, licenses and permits
  • Communicate regularly with the Construction Department and Closing Department when necessary to help troubleshoot and resolve issues that may arise in the field to ensure closings are met


Qualifications

Education and Experience Requirements

  • Minimum High School Diploma or equivalent required
  • Experience with single/multi-family and amenity permitting is preferred but we are willing to train the right candidate
  • Minimum 2 years in the Construction industry and/or technical construction project management experience is helpful
  • Strong organizational skills, time management, consistent attention to detail, the ability to prioritize, multi-task and take initiative are essential qualities to possess for this role
  • Must be able to work independently and as a team player, comfortable working well under pressure in a fast-paced environment with a heavy volume workload and time restraints
  • Must be able and/or willing to learn how to read blue prints and plot plans
  • Excellent follow-up, communication (written and verbal) and the ability to work well with interruptions is key
  • Valid Driver’s License with good driving record
  • Advanced PC skills Microsoft Word and Excel  
  • Able to professionally perform multiple detail-oriented tasks while meeting simultaneous deadlines
  • Advanced PC skills, Microsoft Word, Outlook, Excel and Adobe experience required
