Overview

Provide administrative support to VP of Sales/Marketing through a variety of related responsibilities.



Responsibilities

  • Purchase Agreement process
    • Accept sales in JDE and update all internal reports
    • Audit Purchase Agreement – options, documents, Addendums
    • Email approved Purchase Agreements, congratulations letter, etc. to CalAtlantic Title, Lender, New Home Consultant, Realtor and Buyer
    • If necessary, send out default and termination letters
    • Tie out ROC to JDE
  • Set up and maintain homeowner files and contract documents in JDE, Salesforce and BOX.
  • Distribute surveys
  • Schedule closings with Sales, Construction, Lender, Title and Buyer
  • Maintain and update closing calendar with CalAtlantic Title/outside Title and Lender
  • Scan HUDs after closings
  • Track W-9s and license numbers
  • Assist Division President, VP of Sales/Marketing with assigned projects as needed
  • Prepare and distribute all home site releases


Qualifications

  • Minimum High School Diploma or GED
  • Minimum 3 years experience as receptionist and/or clerical
  • Basic PC skills required
  • Accurate typing and strong organizational skills
