Summary of Position Requirements

Primary role will be to support the Land Development and Amenity Construction personnel in the administration of the entitlement and development processes within the Land Department. Basic administrative support to Land department, preparation of business letters, memos, standard operation forms and correspondence via fax, phone, email and courier.  Responsible for tracking key programs in the Division as well as coordinating meetings and company events.

Primary Duties and Responsibilities

•       Provide administrative support to Executive leadership team on land department matters

•       Prepare, scan, file, and track land related proposals and contracts

•       Maintain master vender contact and contract list for department

•       Provide internal customer service

•       Oversee new vendor set up- insurance, tax info, etc.

•       Receive, distribute and file (hard copy and electronic) all documents for the department to include documentation for ongoing projects and properties under due diligence.

•       Keep electronic budgets updated with contracts, POs, invoices etc.

•       Send out vendor packages and review for compliance before sending to accounting for corporate approval

•       Coordinate with accounting in getting vendors approved and set up for ACH payment

•       Track vender insurance certificate requirements

•       Work with suppliers as necessary to resolve invoicing issues

•       Work with contractors, attorneys, engineers and planners as necessary to resolve matters related to the Division.

•       Submittal of land department invoices to accounting department

•       Data entry of existing and new contracts into JD Edwards Accounting System

•       Research payables in JD Edwards

•       Organize and file all land deparment paperwork including invoices and proposals

•       Distribute land related paperwork to venders or municipalities via Fed Ex

•       Process check requests and distribution for the department

•       Collate and distribute land related budgets and invoices to project managers

•       Manage Surety tracking report and process new surety requests, reductions or releases

•       Track safety, first aid/CPR and SWPPP certifications for the department.

•       Track agency permit expiration dates

•       Other duties assigned

 

Job Requirements

Education and Experience Requirements

•       High school diploma or equivalent required, college degree preferred

•       Minimum 2 years’ experience supporting land acquisition, land development and/or homebuilding

•       Valid Driver’s license and good driving record and valid auto insurance coverage required

•       Computer expertise, including word-processing, spreadsheet analysis, project scheduling and data management software

•       Ability to communicate effectively and concisely, both verbally and in writing.

•       Must exercise initiative and achieve objectives with minimal supervision.

•       Must be detail-oriented and a problem-solver able to deal with complex situations.

•       Notary Public State of Florida
