Job Description


The Office Services Administrator will be responsible for the distribution and sorting of mail/restocking supplies in the breakrooms, in addition to providing office services to all associates in the Miami Corporate Campus. This position will work under the direct supervision of the Office Manager and requires the Office Services Administrator the ability to work diligently to help maintain smooth office operations. The ideal candidate must be reliable and hardworking with great communication skills, and is familiar with office equipment and procedures.


Principal Duties and Responsibilities: 

  • Receives,scans, and distributes all packages received on a daily basis; in addition, maintains responsibility for obtaining signatures for all overnight packages received
  • Receives and distributes all US Mail the same day in which it is received; in addition, is responsible for obtaining signatures for all Parcels and USPS priortity packages deliverd
  • Responsible for pickup and delivery of interoffice mail, throughout the Corporate Campus
  • Processes all outgoing USPS mail, including certified mail
  • Picks up all outgoing mail (including overnight) throughout the Corporate Campus to ensure readiness for FedEx/UPS
  • Distributes office supplies upon delivery
  • Maintains inventory of/orders kitchen supplies as needed
  • Ensures all kitchens remain fully stocked on a daily basis
  • Responsible for checking Executive Kitchen and Refrigerator to ensure they are fully stocked in the morning, in addition to prior to leaving for the day.
  • Sets up meeting rooms for scheduled meetings, on a daily basis


Education and Experience Requirements:

  • High school diploma or GED required.
  • 1-3 years of experience in mailroom and office services.


Physical Requirements:


This is a position which requires the incumbent frequent walking, standing and climbing of stairs. Must also have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 50 lbs. Finger dexterity is necessary.



Additional Requirements:

  • Assists Office Manager during Office Relocations
  • Performs “handy man” tasks to assist all corporate associates as needed (i.e repairs desks, hangs pictures, move furniture, lifting boxes, etc.)
  • Assists in the set up of company events
  • Maintains responsibility of “weekly walk throughs” around the property, noting any building maintenance issues and relaying to management office
  • Places service calls for Mail Room equipment and ensures equipment remains in good working order, at all times
  • Walks campus with “Shred It” representative during weekly visits
  • Good communication and organizational skills
  • Must have sense of urgency
  • Great attitude and willingness to help
  • Position requires reliable, consistent and punctual attendance.
