Overview

This critical function within the payroll department requires a great amount of confidentiality and attention to detail.  The Analyst will assist the Payroll Tax Manager with day to day payroll tax operations which includes bi-weekly payroll tax deposits, month end, quarter end, and year end tax reconciliations. Detail oriented and good organizations skills are essential.  Must have a good attitude and be able to multi task when needed.  Must be willing to work independently or in a team when needed. 



Responsibilities

  • Calculates, and verifies that payroll taxes are accurate before payroll is confirmed.
  • Calculates tax deposits after payroll has been confirm and prepares the ACH payment files for processing.
  • Creates check request for tax authorities which do not participate in ACH.
  • Verifies receipt of tax payments made to the IRS through EFTPS.
  • Key in payroll tax information from the payroll tax register into Excel to maintain month-to-date, quarter-to-date, and year-to-date balances.
  • Generate new employer applications and ACH authorization request.
  • Request, test, and initiate “penny” ACH test on new tax localities before initiating real tax payments.
  • Reconciles and prepares monthly tax returns.
  • Reconciles and prepares quarterly tax returns to include but not limited to federal forms 941, state unemployment returns, withholding reconciliation returns, and 940 deposits.
  • Process and file quarterly multiple worksite reporting.
  • Process quarterly electronic filings for participating tax agencies.
  • Research and resolves delinquency notices received from tax agencies.
  • Year End reconciliations of all taxing authorities.
  • W-2 reconciliation and issuance to all associates.
  • Reconciles and prepares annual 940 federal forms.
  • Generates W-2 reconciliations for the executive team.
  • Assists associates with tax issues related to their pay checks and or W-2 forms.
  • Re issue W-2 forms from prior years as needed.
  • Process third party sick pay payments to ensure that taxable amounts are included on the W-2 forms before year end.
  • New hire federal tax credit administration.
  • Researches and stays current with legislative changes that affect the payroll tax process.
  • Assists with Tax Update testing provided by HRMS/PeopleSoft.
  • Updates PeopleSoft with new SUI experience tax rates.
  • Assist win employment state and federal audits.
  • Work closely with other departments to ensure accuracy and timely compliance.
  • Generates and submits the social security verification file to the SSA.
  • Assist with the stock option plans by generating the Solium report, verifying the taxability wage information, keying in the tax information into the payroll system, and paying the correct taxes according to the IRS schedule.
  • Complete the Industrial Classification Forms.
  • Assist with the NYS Disability Policy Administration.
  • Assist with the wage garnishment administration, included but not limited to the initial garnishment set up, payment processing and correspondence with the agencies.
  • Initial set up of United Way pledge card into the payroll system and processes the monthly payments.


Qualifications

Education and Experience Requirements:

 

  • Bachelor’s degree in related field preferred.
  • Minimum 2 years of US multi-state payroll tax reporting or payroll related functions required.
  • FPC/CPP a plus.

Physical Requirements:

This is primarily a sedentary office position which requires the Payroll Tax Analyst to have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary.

 

Additional Requirements:

  • PeopleSoft payroll platform preferred.
  • Intermediate Microsoft Office proficiency.
  • Ability to analyze problems, attention to detail and great organization skills.
  • Must be a team player with a strong work ethic.
  • Provide Customer Service to our associates and other departments.
  • Strong verbal and written communication skills.
  • Office work requires sitting at a computer monitor for extended periods of time each day.
  • Interact well with co-workers, supervisors and management.
