Overview

Support the Resource Planning department by coordinating necessary documents, payments, and information required for permitting and starting new homes. Duties include updating and maintaining documents for permit submittal, reviewing site cost codes for billing accuracy, paying municipality and outside consultant fees, maintaining tracking logs, and assisting the Resource Planning and Construction departments with necessary tasks.



Responsibilities

  • Assist permit coordinators with the preparation and submittal of applications to various agencies/ boards having jurisdiction over required permits and/or approvals
  • Support team with requesting/tracking architectural drawings and site plans
  • Prepare check requests and maintain check tracking log
  • Ensure proper coding of all site invoices
  • Reconcile department credit card statements on a weekly basis
  • Pay municipality reinspection fees
  • Provide closing department with certificate of occupancy as needed
  • Schedule and coordinate meetings, appointments, etc for department
  • Enter permitting data into JD Edwards and save digital copies of permit cards to department folder
  • Prepare start packages for Construction Managers and upload digital versions to BuildPro
  • Maintain all company files relating to site plan applications, approvals, licenses and permits
  • Assist with communication regarding start updates to the construction team
  • Assist with physical version of department starts slotting board daily


Qualifications

  • Minimum High School Diploma or equivalent required
  • College degree preferred
  • Minimum 6 months to 1-year experience working in a professional office environment in an administrative role
  • Strong organizational and time management skills, ability to prioritize and take initiative
  • Must be detail-oriented team player comfortable working in a fast-paced environment with heavy volume workload
  • Valid Driver’s License with good driving record
  • Intermediate knowledge of Microsoft Office (specifically Word and Excel)
  • Excellent follow-up, communication (written and verbal) and time management skills
  • Able to professionally perform multiple detail-oriented tasks with simultaneous deadlines
