Job Description

Overview

The Project Coordinator provides coordination and support of local and national technology related projects under the direction of the technology, customer management. This role maintains customer relations with all Divisions in a given Region, supporting coordination and communication for project delivery and status. The coordinator interfaces with a wide range of Lennar associates from administrative to management and maintains documentation and reporting for assigned projects including planning, requirements, analysis, assessment and project risk.



Responsibilities

  • Direct Support and Coordination of I.T. projects to include, but not limited to:
    • Relocations and Expansions (I.T. / AV Related Details)
    • Telecommunications and Network (Network and Communication Rooms)
    • A/V Projects (Conf. Rooms, Training Rooms, Presentation Rooms etc.)
    • Hardware Roll-outs.
    • Software Roll-outs.
    • Annual Meetings (Division Presidents Mtg. Financial Mtg. Advisory Council Mtg. Bankers Mtg. etc.)
    • Divisional CBT Training.
  • Maintain project documentation.
  • Work closely with I.T. Directors, Managers and staff to keep updated with current technology goals and procedures.
  • Coordinate with Divisions as well as outside vendors and contractors.
  • Maintain professional, organized individual Project Folders and plans for all projects, which may include photos, floor plans, written procedures or emails, vendor bids, invoices and contacts.
  • Initiate and maintain an open line of communication between Divisions and IT Department for all customer needs.
  • Complete weekly, sometimes daily, Project Status Reports or updates on all projects as requested.
  • Keep I.T. Calendar updated with relevant schedules.
  • Assist with I.T. department open ticket items when necessary.
  • Trains less senior associates on defined procedures and standards
  • Perform special assignments as requested by IT Project Manager.


Qualifications

Education and Experience Requirements:

  • 3+ years direct work experience in a supporting project management capacity, including aspects of process development and execution
  • Bachelor’s degree required or certification required
  • Certifications in Project Management preferred or working towards PMP

Technical Skills

  • Intermediate technical proficiency in assigned area
  • Executes a range of tasks in assigned area with minimal supervision
  • Performs system management and monitoring activities based on defined runbooks
  • Solves a range of straightforward problems; analyzes possible solutions using standard procedures; receives a moderate level of guidance and direction
  • Recognizes how changes may impact the business and other functions within IT; understands how change management is achieved in their assigned area
  • Recognizes when to escalate to more senior associates
  • Provides level 2 support functions
  • Performs work in alignment with IT strategies and standards

Additional Requirements:

  • Strong familiarity with PM software, such as Microsoft Project.
  • Technically competent with various software programs, such as Microsoft Project, Microsoft Visio, Microsoft Office 365.
  • Knowledge of and ability to utilize current word processing, spreadsheet, e-mail and Internet software.
  • Experience with process and industry methodologies for Project Management
  • Ability to interpret technical procedures to customers and other non-technical associates.
  • Ability to establish and maintain effective working relationships with other Information Systems department associates and customer representatives.
  • Reasonable knowledge of current hardware and software technologies and uses in telecommunications.
  • Strong written and oral communication skills.
  • Experience at working both independently and in a team-oriented, collaborative environment is essential.
  • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
  • Reacts to project adjustments and alterations promptly and efficiently.
  • Flexible during times of change.

  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.

Physical Requirements: This is a position which requires frequent walking, standing and climbing of stairs in/around homes, models and properties. Must also have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary.
