The Executive Assistant is responsible for supporting senior executives by overseeing a range of high-level administrative functions. This position involves proactively managing executive schedules, coordinating complex travel arrangements, and facilitating communication across various departments. The Executive Assistant will lead efforts to streamline office operations, enhance executive productivity, and ensure seamless execution of key initiatives.
This role requires a proactive, detail-oriented professional who excels in managing multiple priorities, solving problems, and driving organizational efficiency.
This position will provide support to our Engineering executives and collaborate closely with the Miami HQ Administrative Team in the Eastern Time zone, ensuring seamless communication and support.
Your Responsibilities on the Team
Provide comprehensive administrative support to the Engineering leadership team.
Organize meetings, conference calls, team events, and travel arrangements.
Prepare business letters, memoranda, presentations, and other correspondence accurately and promptly.
Create, revise, and format presentations, spreadsheets, and documents.
Handle reporting requests, expense reports, and various assigned projects.
Manage travel and entertainment activities, including processing, obtaining approvals, and submitting for payment.
Serve as the primary point of contact for the Bentonville Engineering team, overseeing supply orders, catering, gifts, and visitor reception.
Establish and maintain documentation and filing processes.
Prioritize and manage phone calls and emails, providing public relations support, taking detailed messages, and assisting with issue resolution.
Communicate effectively and solve problems on a daily basis.
Develop and implement processes for routine office management and supply ordering.
Troubleshoot standard office equipment in collaboration with IT.
Coordinate meeting materials, handle mailings, and order food and gifts as needed.
Undertake special projects and cross-train as required.
Requirements
High School Diploma or equivalent required.
A minimum of 5 years of office experience in a similar role is required.
Experience as a C-level executive assistant is essential.
Ability to perform multiple, detail-oriented tasks with simultaneous deadlines.
Advanced communication skills, both written and verbal.
Excellent organizational and writing skills.
Strong work ethic, integrity, and loyalty.
Team player with the ability to work well under pressure.
Highly computer proficient, including Microsoft Office, Word, Excel, PowerPoint, and Outlook.
Must be diplomatic, thorough, customer-service minded, detailed, and professional.
Ability to interact professionally with all levels of management, division associates, corporate associates, customers, outside entities, etc.
Impeccable communication, writing, and organizational skills.
Physical & Office/Site Presence Requirements:
This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office supplies weighing 25 pounds or less. Finger dexterity is required to operate computer keyboard, calculator and telephone equipment.
