Purchasing Coordinator Summary:

The Purchasing Coordinator will support the purchasing department and field associates by performing administrative and clerical duties as directed by the Purchasing Manager.

Responsibilities:

  • Maintain subcontractor/supplier insurance tracking through the IDS database.
  • New Vendor / Subcontractor package distribution.
  • Filing, Copying, other administrative duties within the department.
  • Assist Purchasing in bidding of new projects.
  • Interface with Accounting Department to ensure prompt payment for Subcontractors.
  • JD Edwards input, printing and faxing to trades.
  • Notice of Completion filing and mailings.
  • Appliance ordering for each community.
  • Prepare and distribute bidding packages for new communities; set up of new vendors.
  • Back up for receptionist on phone relief.
  • Prepare weekly production reports.
  • Assist in the administration of field operations.
  • Prepare correspondence to other departments, government entities, homeowners, etc. as needed.
  • Prepare Sequence sheets for each community, distribute to trades and field personnel.
  • Order homesite specific plot plans.
  • Coordinate plan-ordering activity including any online set up and plan distribution. 
  • Utility Deposit refund requests and follow-up.
  • Prepare community books for field and office, complete with specifications and product cut-sheets.
  • Audit and track current contractor license information for all trade partners.
  • Maintenance and input of lumber tracking spreadsheet using Random Lengths weekly reports.
  • Update and maintain Master Trade Partner / Bid lists.
  • Upkeep and maintenance of plan room product files and plans.
  • Provide backup for Contracts Administrator duties.

Qualifications:

  • Minimum High School Diploma or equivalent required; College preferred.
  • Minimum of 2 years of office/administrative experience.
  • Computer literate with the ability to work with JD Edwards, Auto CAD, Buzzsaw, Build Pro/Supply Pro, and Excel.
  • Professionally perform multiple, detail oriented tasks with simultaneous deadlines.
  • Good writing and extremely good organization skills.
  • Possess strong work ethic, integrity, and loyalty.
  • Team Player with ability to work well under pressure.


Physical Requirements:

This is primarily a sedentary office position which requires the ability to work in excess of eight hours per day in the confined quarters of an office.  Also requires the ability to read plans, bend, stoop, reach, lift, and move and/or carry items less than 50 pounds.  Finger dexterity in operating a computer keyboard and calculator.  Office work requires sitting at a computer monitor for extended periods of time, completing paperwork and to receive/return phone messages.  Standing is required for filing and copying.
