The Construction Administrator assist with a variety of duties to include Division’s job starts process, processing critical forms and posting of documents in a timely manner, compiling and updating reports, data entry, coordinating with Construction Managers, maintaining files, processing invoices, answering phones, etc. Position requires the ability to multi-task and drive results in a team atmosphere. Individual must be self-motivated, detail-oriented and possess a can-do positive attitude.

Your Responsibilities on the Team

  • Coordinate the Division’s start process, including start packages, utility requests, permit payments, and job start documentation in BuildPro.
  • Collaborate with architects/engineers on multi-family foundation strip drawings and submit to DOC for approval.
  • Maintain and distribute key reports such as the Projected Start Report, Change Order Memos, and Production Status Reports.
  • Process and track change orders, inspections, certificates of occupancy, and municipality fees like water and gas meters.
  • Support safety program coordination by uploading incident reports, maintaining safety binders, and organizing committee efforts.
  • Maintain BuildPro templates and track meeting minutes, bonuses, and construction documentation for the team.
  • Manage communication and documentation with trade partners, including contact lists, inspection forms, and QCI reports.
  • Provide administrative support for the Construction team and Director, including scheduling, correspondence, and special projects.

Your Toolbox

  • Minimum High School Diploma or equivalent required. College Degree preferred.
  • Minimum 2 years in construction industry preferred.
  • Technical construction project management experience preferred.
  • Strong organizational and process management skills.
  • Valid driver's license with a good driving record.
  • Valid auto insurance coverage.
  • Ability to prioritize and take initiative.
  • Must be able to read blueprints and site plans.
  • Must be detail-oriented team-player comfortable working in a fast-paced environment.
  • Advanced PC skills Microsoft Word, Excel, JD Edwards and Adobe Acrobat DC/Bluebeam.
  • Excellent follow-up, communication (written and verbal) and time management skills.
  • Able to professionally perform multiple tasks with simultaneous deadlines.
  • Possess a strong work ethic, integrity and ability to work well under pressure.

Physical & Office/Site Presence Requirements:

Regular, in-person attendance at Company communities/job sites and offices during regular work hours is an essential function of this job. Requires the ability to work more than eight hours per day in the confined quarters of a construction trailer, the ability to operate a motor vehicle, read plans, climb stairs and ladders, bend, stoop, reach, lift, move and/or carry equipment which may be in excess of 50 pounds. Job may require occasional operation of construction equipment. Finger dexterity may be required to operate a computer keyboard and calculator.
