Homeowners Association Manager

Homeowners Association Manager provides management, direction, and leadership to ensure a community property is maintained and operated in accordance with Company objectives. Responsibilities include working closely with third party management company, internal and external counsel, members of the association, and/or developer representatives to manage and operate the association and to facilitate solutions to problems amongst communities and parties. 

Responsibilities

  • Works closely with HOA attorney in drafting community HOA formation documents, CC&R’s, ACC documents and coordinating other items as needed.
  • Works directly with Land Development Managers to formulate initial and ongoing community Homeowners Association (HOA) budgets, based on community programs/projects, buildout schedules upon which resident dues will be based.
  • Works closely with and through third party HOA management companies to manage daily operations of the Division’s active Associations.
  • Manage Declarant funding requirements to minimize Division’s financial obligations while communities are developing.
  • Acquires and maintains current knowledge of state regulatory agency statutes, each community’s documents, policies and procedures.
  • Analyzes advantages and disadvantages of alternative solutions to problems and makes recommendations to other members of the Board of Directors (BOD).
  • Provides leadership and direction to effectively manage relationships with other business groups and achievement of Division’s community goals and objectives.
  • Develops and maintains an effective ongoing resident relations plan, implements initiatives, and maintains an operating environment to achieve a satisfactory level of resident service as measured by formal and informal feedback and surveys.
  • Supervises third party manager’s preparations of complete and accurate financial reports and annual budget(s), meeting all deadlines and demonstrating thorough analysis and consideration for the goals of the asset and current market conditions.
  • Manages resident relationships to ensure residents’ experience a high level of service including timely and complete resolution of residents’ concerns, coordinating special services and requests, and conducting formal and informal inspections.
  • Responds to phone calls and correspondence in a timely, professional manner.
  • Serves as President on an HOA BOD presiding over HOA annual and regular BOD meetings, which in many cases are held during evening hours, in accordance with Robert’s Rules of Order.
  • Observes all safety standards and participates in the Company’s efforts to provide safe work environment.
  • Serves as liaison between development team, members of the association, and third-party managers, consultants, and trade partners.
  • Reviews homebuilder ARC submittals for compliance with association’s governing documents and tracks approvals by community.
  • Coordinate the transfer of non-residential areas to the HOA or other entity as may be desired or required.
  • Responsible for timely overseeing transition from a Declarant run HOA to the Homeowners.

Qualifications

  • Minimum High School Diploma or equivalent required
  • Bachelor's degree in Business, Finance or related field preferred.
  • Minimum three (3) years’ experience as an HOA manager, managing various communities property and associated infrastructure, including but not limited to open-space, trails systems, playground amenities and pools.  Proven experience in coordinating staff, trade vendors, service contracts, community improvements, and managing budgets is a must.
  • Ability to communicate effectively and concisely, both verbally and in writing.
  • Must have initiative and be able to achieve objectives with minimal supervision.
  • Must be detail-oriented and a problem-solver able to deal with complex situations.
  • Strong working knowledge of customer service principles and practices.
  • Ability to read, analyze, and interpret technical procedures, contracts, financial reports, regulations, and other documents with a similar degree of complexity.
  • Computer literacy, including word-processing, spreadsheet analysis, project scheduling and data management software.
  • Valid Driver’s License and satisfactory driving record
  • Ability to communicate effectively and concisely, both verbally and in writing
