The Accounts Payable Administrator is responsible for providing accounting support involving accounts payable, journal entries and the processing of vendor checks as well as various office administrative duties for the accounting and construction departments.

Your Responsibilities on the Team 

  • Code invoices and submit to ROC.
  • Reconcile daily sales, starts, closings, and deposits; manage journal entries and utility invoices.
  • Resolve AP issues and manage payment distribution to vendors.
  • Run weekly payment registers and handle off-cycle payment runs.
  • Prepare closing funding forms for Title, set up vendors, manage vendor files, and file invoices.
  • Manage Voids, Open AP, ABR maintenance, and insurance holds.
  • Process check requests, collect and manage notarized lien waivers, and match to invoice backup for payment release.
  • Handle ECH/Epayables payment releases in JDE and manage BuildPro payables lien release.
  • Update schedules for sales and construction trailers, printers, phones, model utilities, and inventory utilities on a weekly basis.
  • Pay and reconcile RE Taxes and manage YE 1099 process.
  • Create and distribute Purchase Orders for site costs and land development, match purchase orders with invoices before payment.
  • Ensure accuracy of home site information in JD Edwards and prepare various reports.
  • Perform office receptionist duties and other administrative functions for all departments.
  • Coordinate reports between Site Cost Administrator and Accounts Payable, train site invoice process, and tie out site cost budgets to land budgets.

Requirements

  • High School Diploma or GED required.
  • Minimum of two to three years of office and accounts payable experience, with a preference for homebuilding industry experience.
  • Intermediate computer skills in Microsoft Word and Excel.
  • JD Edwards experience preferred; Build Pro experience is a plus.
  • Excellent attention to detail

Physical & Office/Site Presence Requirements:

This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office supplies weighing 25 pounds or less. Finger dexterity is required to operate computer keyboard, calculator and telephone equipment.
